Arrangements for Externally Set Assessments, Examinations, and Secure Material Storage
Our Centre enforces strict operational procedures to manage externally set assessments and examinations securely. These policies cover the entire life cycle of examination materials, from arrival to post-exam dispatch, as well as the physical environment and invigilation requirements during testing.

1. Secure Storage of Assessment Materials (Prior to and Following Exams)
To maintain absolute security and confidentiality, the handling of all physical examination packets adheres to strict access control protocols:
The Secure Examination Cupboard: All externally set examination papers, assessment booklets, and related confidential materials are stored in a dedicated, high-security locked cupboard.
Authorised Access Only: This secure cupboard is located within a restricted area and is exclusively accessed by the named Examination Officer. No other personnel are permitted to retrieve or handle assessment materials independently.
Pre-Assessment Security: Packages containing exam papers remain completely sealed within the secure locked cupboard until the exact morning or session of the examination. They are only removed by the named Examination Officer for immediate transport to the examination room.
Post-Assessment Security: Immediately following the conclusion of an exam session, all completed scripts, digital storage devices, and leftover assessment materials are collected, accounted for, and returned directly to the secure locked cupboard by the named Examination Officer. They remain locked away securely until they are formally dispatched to the awarding body or destroyed in line with regulatory timelines.
2. Accommodation and Physical Exam Environments
We configure our physical facilities to guarantee standard, distraction-free testing conditions that comply with awarding body regulations:
Layout and Spacing: Examinations take place in our designated assessment spaces, arranged to ensure that candidates sit at the required distance apart to prevent collusion or viewing of other screens/papers.
Visual Regulations: The exam space is cleared of all teaching aids, posters, or whiteboard notes that could assist learners. A central clock, standard warning notices to candidates, and clear electronic device usage policies are visibly displayed.
Desk Readiness: For tablet-based or on-screen assessments, workstations are positioned to prevent candidates from seeing adjacent screens, and all devices are fully charged and pre-loaded with secure browser software before candidates enter.
3. Invigilation and Exam Session Integrity
We deploy trained personnel to actively manage and safeguard every assessment session:
Trained Invigilators: Examination rooms are staffed by qualified invigilators who have undergone standard training regarding exam regulations, malpractice identification, and emergency procedures.
Ratios and Monitoring: We maintain strict staff-to-candidate ratios as mandated by the qualification specifications. Invigilators are positioned to maintain an unobstructed view of all candidates at all times and actively patrol the room.
Identity and Mobile Checks: Before the assessment begins, invigilators verify each candidate’s identity against the official attendance register using photographic ID. All mobile phones, smartwatches, and unauthorized electronic devices are switched off and collected prior to the distribution of exam materials.
Incident Logging: Any technical disruptions, candidate illnesses, or suspected malpractice incidents are immediately documented in an official exam room log, which is counter-signed by the named Examination Officer and retained for quality assurance audits.
